Backstage Monthly Payouts: upload and check calculations
Calculate the displayed team and agency payout estimates from a monthly Backstage summary and inspect their GBP conversion.
This guide describes the available features. Your account role, assigned modules, signed contract and network plan determine which controls you can use. Reading a guide does not change your access.
Start here
- As the main account, obtain the monthly summary with Creator ID, Diamonds, Agency, Team and Estimated bonus columns.
- In Upload Monthly Summary choose Reporting month and one .xlsx or .csv file.
- Review whether the page uses Whole-Month Payout Tiers or Legacy Payout Percentages.
- Select Upload and Calculate Payouts and wait for the success message.
- Read Summary, including source filename and USD to GBP rate used.
- Inspect Agencies, Teams and Creators to check the aggregation and payout amounts.
Before calculating
This module calculates report values; there is no bank-transfer, payment-release or payout-status action on this page. The input is a Backstage summary containing Creator ID, Diamonds, Agency, Team and Estimated bonus. Upload one supported .xlsx or .csv file.
Only the main account can upload files or change legacy percentages. Manager accounts see read-only controls. Check the reporting month before uploading because it determines the payout report and applicable calculation scheme.
Understand the whole-month tier scheme
For newly selected months from September 2026, the module uses automatic diamond tiers. Saved reports retain their recorded scheme; check the scheme actually shown in Summary. The total eligible diamonds for an entity select one rate, and that rate applies to the entire eligible monthly bonus. It is not a calculation that splits diamonds across different percentage bands.
The team/manager rates shown by the module are 5% below 100,000 diamonds; 10% from 100,000; 20% from 200,000; 30% from 300,000; 40% from 400,000; and 50% from 500,000. The agency rates are 10% below 500,000; 20% from 500,000; and 30% from 1,000,000. The displayed tier tables are the reference for the calculation on this screen.
In tier mode the percentage is automatic. Neither the owner nor a manager can save an individual percentage override for that month.
Upload and check the currency conversion
Select Reporting month, choose the Backstage summary file, then Upload and Calculate Payouts. During upload the module obtains a live USD-to-GBP rate and converts the monetary values. The saved snapshot records the rate used. Returning later to a saved snapshot should be reviewed against that saved rate, rather than today’s exchange-rate expectation.
Summary shows the source file, calculation structure, totals and the conversion rate. If no live exchange rate can be obtained, the upload reports an error. Check the error before assuming a payout has been recalculated.
Inspect the three breakdown tabs
- Agencies
- Agency, diamonds, estimated bonus in GBP, payout percentage and calculated payout amount.
- Teams
- Team and agency alongside diamonds, GBP bonus, rate and calculated team payout.
- Creators
- Creator ID, team, agency, diamonds and GBP estimated bonus, useful for tracing aggregate totals back to individual rows.
- Payout Amount (GBP)
- The calculated portion of the eligible GBP bonus. It is not a confirmation that money has been sent.
Legacy percentages and overrides
For reports using the legacy scheme, the owner can save Team default % and Agency default %, each from 0 to 100. Per-entity Save controls in Agencies and Teams apply a specific legacy override; Reset removes that override so the relevant default is used again.
The legacy controls are retained for older payout months and do not change an automatic tier report. Managers cannot change defaults, save overrides or reset overrides.
When a calculation is missing or unexpected
No valid rows usually means the export does not include the recognised identity and summary columns. Check the file format, reporting month, agency/team labels and original estimated bonus values. Inspect Creators when an agency or team total is unexpected.
A migration/storage error or exchange-rate retrieval error requires the account administrator or service maintainer to resolve the underlying service issue. Refreshing alone does not make a missing rate or unavailable storage valid.
Frequently asked questions
Does Upload and Calculate Payouts send money?
No. It imports a summary and calculates report amounts. The page has no money-transfer action.
Why can I not edit a payout percentage?
Tier-based months calculate rates automatically. Manager accounts are also read-only for legacy percentage settings.
Is the tier applied progressively?
No. One rate is selected from the entity’s full eligible monthly diamond total and applied to its entire eligible monthly bonus.
Why does the GBP amount differ from a conversion I made today?
The report uses the live rate captured during its upload. Check USD to GBP rate used in the saved Summary.
What file should I upload?
A monthly Backstage summary with Creator ID, Diamonds, Agency, Team and Estimated bonus, saved as .xlsx or .csv.
