Backstage Managers: clear names for reporting
Map imported manager email addresses to readable names used in reporting and team labels.
This guide describes the available features. Your account role, assigned modules, signed contract and network plan determine which controls you can use. Reading a guide does not change your access.
Start here
- Open Add Manager and enter the same manager email address used in the Backstage export.
- Enter the display name you want people to recognise in reports.
- Save the manager, then switch to Directory.
- Search the email or name, review Display Name and Preview Team Tag, and select Save Display Names after any changes.
Understand the purpose of the mapping
This screen stores a readable label for a manager email. It helps imported reports show a recognisable name instead of an email-derived label. Adding a mapping here is not the same as creating a sub-user account: it does not invite a manager, set a password or assign module permissions.
Access depends on the Backstage Managers module permission. The page does not present a separate owner-only editing mode, so anyone permitted to use its save controls should coordinate naming changes with the network owner.
Add a manager label
Use the email that actually appears in the imported data. A differently spelled email creates a different mapping. Email validation prevents an invalid address from being saved. A blank display name in Add Manager uses an automatic name derived from the email.
- Manager email
- The email to match against imported manager data. Enter a valid address.
- Display name
- The friendly name to show for that email. Choose a stable label that colleagues will recognise.
Maintain the directory
Directory lists Manager Email, Display Name and Preview Team Tag. Search narrows the visible rows as you type. Edit the Display Name values, then use Save Display Names to store the changes; simply typing does not save them.
To restore automatic naming for an existing mapping, clear its Display Name and save. This removes the custom label, not the manager’s sub-user account or the creator records assigned to that manager.
Check the result and resolve problems
A success message confirms the mapping was saved. Revisit the reporting screen to check the displayed team or manager label. If the old label remains, verify the import’s exact email and refresh the report. An invalid session message means you should reload the page and submit the change again.
An empty directory can mean no manager emails have been imported or added yet. Add the relevant email mapping or complete a creator import before expecting a populated list.
Frequently asked questions
Does Add Manager send an invitation?
No. It saves an email-to-display-name mapping. Create and manage actual logins in Sub-users.
How do I undo a custom name?
Clear the name in Directory and select Save Display Names. The manager returns to automatic naming from the email.
Why did my report not change?
Check that the mapping email exactly matches the manager email associated with the imported creators, then reload the report.
Still stuck? Note the page name, the step you tried and the exact message shown. Managers and sub-users should contact their network owner; owners should contact their platform administrator. Never include passwords, webhook URLs, recovery links or private identity documents in a general support message.
