Create recorded meetings and manage the recording archive
Set up browser meetings, help guests join, control recording access and understand storage and expiry.
This guide describes the available features. Your account role, assigned modules, signed contract and network plan determine which controls you can use. Reading a guide does not change your access.
Start here
- Open Secure Meeting Rooms and check Daily connected, the plan allowance and Participant minutes.
- Choose Create meeting, enter Meeting title and People, select Link lifetime and Keep recording, and decide whether to Use waiting lobby.
- Create the room, then copy the Meeting invitation URL while it is displayed and share it with the intended attendees.
- Use Enter & record to host. Guests open the invitation, enter Your display name, acknowledge recording and continue to the meeting.
- Use End meeting as the host when finished, then wait for the archive to finish processing and become Local ready.
- Use Play to review the recording, Grant/Revoke for manager archive access, or Share for a separate public playback link.
Check service setup, usage and account permissions
The module requires access, an active eligible plan, available meeting minutes and the Daily service configured by the platform administrator. Setup required means that configuration is missing; the owner’s billing page cannot configure Daily itself. The Create meeting button is disabled when prerequisites or usage allowance prevent creation.
The owner can manage network rooms. A manager can manage rooms they created and view recordings explicitly granted to them by the owner. Viewing another room’s archive does not give that manager its organiser controls. The usage cards show Rooms this month, Participant minutes, Recording minutes and Archived recordings. Participant minutes accumulates participant time, so multiple attendees consume more than one minute per minute of meeting duration.
Create a meeting and keep its invitation
Meeting title is required and can be up to 190 characters. People sets the limit from 2 to 50, with a default of 12. Link lifetime offers 4 hours, 24 hours, 3 days or 7 days. Keep recording offers 30, 90 or 180 days, or 1 year. Use waiting lobby enables the waiting-room option.
After Create meeting, Meeting link ready shows the Meeting invitation URL. Copy link or the device-app, WhatsApp, Telegram, Email or Text message sharing controls help you distribute it. These controls open the chosen sharing workflow; check the recipient and content there.
The invitation is shown only at creation or replacement because its secure token is not stored in readable form. Anyone holding it can request to join until it expires or the room closes. Save it immediately for the intended audience. New link generates a replacement and makes the previous invitation stop working.
Host and guest joining workflow
Enter & record is the organiser action for a ready or active room. Recording starts automatically when the organiser enters. The room must still be open and unexpired. The organiser’s top control is End meeting; guests see Leave. The embedded browser meeting may request camera and microphone permissions.
A guest opens the invitation page, reviews the recording notice, enters Your display name using no more than 120 characters and checks the acknowledgement before Continue to meeting. A signed-in person may change the prefilled display name for that meeting. Guests do not need extra meeting software.
The notice explains that voice, camera, name and screen shares may be captured, and that the organiser can see join/leave times, IP address, device/browser and approximate location. Private attendance/security details are retained with the recording for the chosen period and are not included on public recording links.
An unavailable invitation may be expired, replaced or closed. A direct meeting-room URL requires a valid session ticket; if it says the session expired, reopen the invitation. If the meeting service cannot load, refresh and retry after checking browser/network access. Close in the room list closes the room and invalidates its invitation; it does not delete an already archived recording.
Follow recording processing and play the archive
The Meeting rooms table lists meeting title, status, people, archive count and expiry. The Recording archive lists each recording’s duration, storage state, deletion date and available actions. Recording, finalising, Remote ready and Downloading indicate different stages before local playback is available.
After Daily finishes processing, the file is securely transferred to the server. Ready files are described as stored only on this server. Play becomes available at Local ready. Do not repeatedly create meetings because a just-finished recording is still processing. Read any failure message and the Delete date.
Play opens the video and Additional details. Completed attendee sessions can include attendance timing, device and network/approximate location; Copy attendee list copies the private list when available. No completed attendee sessions is an empty attendance state, while attendee-details-could-not-load is an error. IP-based locations may represent an internet provider or VPN. Close and reopen the player if playback fails.
Control private manager access and public playback separately
The network owner can select an active manager beside a recording and choose Grant or Revoke. This changes that manager’s private archive access. A manager’s own recordings remain part of their organiser permissions. Only the owner has the cross-manager grant controls.
For a ready recording you manage, Share prepares a Public playback link. Anyone with that link can watch without logging in, including someone to whom it is forwarded. Copy link copies it and Open previews the viewer page. Public playback shows the title, network, recorded date/duration and video controls, without the private attendee log.
Create a new link replaces the public playback link immediately, so the previous public link stops working. Disable public link removes that public access. These controls are separate from meeting invitations: changing an invitation does not serve as the recording-share control, and revoking one manager’s dashboard access does not disable a public playback link.
Retention, deletion and unavailable files
Keep recording sets the retention period; check each archive row’s Delete date. A public viewer sees Recording unavailable if a link was disabled or replaced, or the recording reached its deletion date. The media routes serve the permitted recording to the player; they are not separate management pages.
Delete is available to the room’s authorised manager or owner for Local ready or Failed recordings and requires a permanent-deletion confirmation. Processing recordings must finish first. The site stops local deletion if it cannot confirm the Daily copy was removed, or reports if the local file cannot be removed. Read the result before assuming all copies were deleted.
Deleting a recording cannot be undone through this page and ends access to the stored playback file. Use Disable public link when your purpose is to stop public viewing while retaining the private archive.
Frequently asked questions
Why is Create meeting disabled?
Check Daily service setup, active plan access and the network’s monthly meeting-minute allowance. The platform administrator configures Daily; the owner manages billing.
Where can I recover an invitation I forgot to copy?
The original readable token is not stored for redisplay. Use New link on the open room, copy the replacement immediately and tell attendees the earlier invitation no longer works.
Why is there no Play button yet?
The recording must finish processing and secure download before it reaches Local ready. Read its storage state and any failure message.
Does Grant give another manager organiser rights?
No. It grants private archive viewing for the selected recording. Room-management rights stay with the owner and the manager who created the room.
Does Revoke stop people using a shared playback URL?
No. Manager archive access and public links are separate. Use Disable public link or Create a new link in Share to withdraw the public URL.
Does the public video show the private attendee log?
No. The public playback link shows the recording. The join notice and player explain that private attendance/security details are not included on public recording links.
Does Close delete the recording?
No. Close shuts the room and invalidates its invitation. Recording deletion is a separate permanent archive action.
What should a guest do after This meeting session has expired?
Reopen the original current invitation to obtain a valid session, provided the room remains open and the invitation has not expired or been replaced.
